How to Prevent Video Call Problems

It's almost never your download speed. Here's how to actually diagnose a freezing or lagging call — and the specific fixes that address each real cause.

A frozen video call mid-presentation is one of the more universally frustrating experiences of remote work. The instinct is usually to blame "the internet" broadly and move on. That's understandable, but it skips past the diagnosis step — and most video call problems have a specific, identifiable cause with a specific fix.

Here's the single most important thing to understand before troubleshooting anything else: video call problems are almost always an upload issue, not a download issue. Your download speed determines how fast you receive everyone else's video. Your upload speed determines how fast you send yours — and that's usually the weaker, more constrained side of most home internet connections.

This guide walks through how to actually diagnose what's happening, and the specific fix for each real cause.

What You Actually Need

Before troubleshooting, it helps to know the real numbers. These are upload speed requirements — the side of your connection that matters most for video calls.

Run a free speed test that measures upload specifically — most basic speed tests emphasize download and bury the upload number. If your upload is consistently below these thresholds during the day, that's likely your core issue.

Diagnose Before You Fix

Most video platforms include a built-in diagnostic view that tells you exactly what's happening during a call, rather than leaving you to guess. In Zoom, Teams, and most major platforms, look for a "Call Health" or "Network Statistics" option in the call menu — usually under a "More" or settings icon during an active call.

What to look for:

  • Packet loss — even 1% packet loss can cause visible freeze frames, since video data can't simply be retransmitted mid-stream the way a file download can
  • Latency / round-trip time — under 100ms is good; consistently above 150ms will feel sluggish or out of sync
  • Jitter — inconsistent timing between data packets, which causes choppy audio and video even when overall bandwidth looks fine

If you see meaningful packet loss specifically, that points toward a Wi-Fi or network congestion problem rather than a raw speed problem — the fixes below are different depending on which one you're facing.

If You're on Wi-Fi: Switch to Wired First

This is worth understanding specifically: Wi-Fi upload is half-duplex, meaning your device can't send and receive at the exact same moment the way a wired connection can. When other devices on your network are downloading — a household member streaming, a phone backing up photos — your call's upload packets get delayed and sometimes dropped entirely. This is the single most common cause of video call freezing on a home Wi-Fi network.

An Ethernet cable removes this problem entirely. If your laptop doesn't have an Ethernet port, a USB-to-Ethernet adapter is inexpensive and solves this permanently for any call that matters.

Close What's Quietly Eating Your Upload

Cloud sync services are the most common hidden culprit. Dropbox, OneDrive, Google Drive, and iCloud all upload in the background continuously, and a sync triggered right before or during a call can consume several Mbps without any visible warning. Pause or close these before important calls.

Browser tabs add up too — a handful of open tabs with background activity can consume a meaningful chunk of upload bandwidth on their own. Closing unnecessary tabs and apps before a call is a free, immediate fix.

Lower Your Video Quality Setting

If your upload is genuinely constrained, this is the fastest in-the-moment fix. In Zoom, go to Settings → Video and disable "Enable HD" or "1080p." Dropping from 1080p to 720p roughly cuts the upload requirement in half, and most participants won't notice a meaningful visual difference on a typical call.

This is a reasonable permanent default if you're regularly on a connection with limited upload — the quality difference is minor; the stability improvement is significant.

Check Whether Your VPN Is the Bottleneck

A VPN routes your traffic through an additional server, which adds latency and can sometimes reduce effective bandwidth. If you connect through a company VPN and notice call quality is worse than on a personal connection, this is worth investigating rather than assuming it's unrelated.

Split tunneling — letting specific apps bypass the VPN while everything else stays protected — is the cleaner fix if your VPN client supports it. This isn't something to set up unilaterally if your company requires the VPN for compliance reasons; check with IT before changing how your work traffic is routed.

Set QoS to Prioritize Your Call Traffic

If household congestion is a recurring problem rather than an occasional one, enabling Quality of Service settings on your router — covered in detail in Guide 1 of this series — lets you tell your router to prioritize your work device's traffic over everything else automatically. This solves the underlying problem rather than requiring you to manually manage it before every call.

If It's Your CPU, Not Your Network

Open Task Manager (Windows) or Activity Monitor (Mac) during a call. If CPU usage is consistently above 80%, the bottleneck is your computer's processing power, not your network — video encoding is CPU-intensive, and an older or overloaded machine will struggle regardless of how good your connection is. Closing background applications helps; an aging device may simply be due for replacement.
